To set up the WhatsApp Business API, you need a Meta Business Portfolio (Business Manager), a phone number that isn't active on another WhatsApp account, a display name that matches your brand, and a Business Solution Provider (BSP) such as RapBooster to connect and run it. Most businesses in India and the GCC go live within 24–48 hours once documents are ready. This guide walks through every step, from prerequisites to your first campaign (as of Sept 2026).
What is the WhatsApp Business API, exactly?
The API (officially the WhatsApp Business Platform, Cloud API) lets businesses message customers at scale, from software, with multiple team members on one number, automation, chatbots, integrations and approved message templates. The free WhatsApp Business App is limited to a phone or a few linked devices and manual work. See WhatsApp Business App vs API.
| Business App | Business API | |
|---|---|---|
| Users | One phone plus a few linked devices | Unlimited agents via a shared inbox |
| Broadcasts | Limited lists | Templates at scale (per messaging limits) |
| Automation | Basic greetings | Chatbots, Flows, integrations |
| Verified badge | Available via Meta Verified | Eligible, subject to Meta review |
| Cost | Free | Meta per-message charges + provider fee |
Step 1: check the prerequisites
- Registered business with documents (GST certificate, incorporation certificate, Udyam, trade licence for the GCC, or utility bill in the business name)
- Live website showing the business name, address, contact details and privacy policy
- Business email on your domain
- Phone number you own that can receive an SMS or voice OTP, and isn't currently registered on WhatsApp (or can be migrated)
- Facebook account of an admin to create or manage the Business Portfolio
- Display name that matches your brand and website
Step 2: create or tidy your Meta Business Portfolio
- Go to Meta Business Suite and create a Business Portfolio (or use your existing one).
- Add the legal business name, address, website and phone, exactly as on your documents.
- Add at least two admins, so you're never locked out.
- Turn on two-factor authentication for all admins.
Step 3: start business verification
Verification confirms your business is real. It unlocks higher messaging limits and is a prerequisite for the verified badge.
- In Business Settings → Security Centre, start verification.
- Upload documents where the legal name and address match what you entered.
- Verify via domain, email or phone as prompted.
- Wait for review, from a few hours to a few days.
Common rejection reasons: name mismatch between documents and portfolio; website not live or not showing the business name; blurry documents.
Step 4: choose your provider and connect
With RapBooster, onboarding uses Meta's embedded signup:
- Start your free trial on RapBooster WhatsApp Marketing.
- Click Connect WhatsApp and log in with the Facebook admin account.
- Select your Business Portfolio, then create or select a WhatsApp Business Account (WABA).
- Enter the display name, category and business description.
- Add your phone number and verify it by OTP.
- Add a payment method in Meta for conversation charges (or as guided by your provider).
Step 5: migrate an existing number (if needed)
If the number is on the WhatsApp Business App:
- Back up chats first (you may lose app-side history, depending on the path you take).
- Follow the provider's migration path: either deregister it from the app, or use supported coexistence if available for your use case.
- Expect a short window where messages may not be delivered. Plan for a quiet hour.
Step 6: set up your profile
- Profile photo: your logo, square, readable at small sizes
- About / description: what you do in one line
- Address, website, email, hours
- Catalogue if you sell products. See WhatsApp catalogue for business
Step 7: create message templates
Businesses must use pre-approved templates to start conversations (outside the 24-hour customer service window).
| Category | Use | Example |
|---|---|---|
| Marketing | Offers, launches, re-engagement | "Diwali sale: 20% off till Sunday" |
| Utility | Transactional updates | "Your order #1234 has shipped" |
| Authentication | One-time passcodes | "Your OTP is 482913" |
Approval tips: clear purpose, correct category, no misleading content, sample values for variables, and no shortened URLs that hide the destination. See template approval rules and rejection fixes and preview templates with our free template previewer.
Step 8: understand pricing
Two parts (approx., as of Sept 2026):
- Meta's charges, per message by category and country. See Meta conversation pricing explained. Service replies within the customer service window get 1,000 free per number each month (from 1 Oct 2026), then the utility rate; marketing costs the most.
- Provider fee: RapBooster WhatsApp Marketing is a plan per WhatsApp number; Meta bills its per-message charges to you directly and RapBooster adds nothing per message. See WhatsApp pricing.

Step 9: understand messaging limits and quality
- New numbers start with a daily limit on business-initiated conversations to unique users. It rises as you send quality messages and verify your business.
- Your quality rating (green, yellow, red) depends on blocks and reports. Low quality can reduce limits.
- Protect quality: message only opted-in users, keep frequency sensible, and make it easy to opt out.
Step 10: collect opt-ins properly
- Checkbox at checkout or signup: "Send me updates on WhatsApp"
- Click-to-WhatsApp ads (the user starts the chat)
- QR codes and website chat buttons. Generate them with the WhatsApp link generator
- Record when and how consent was given
Step 11: set up your team and automation
- Shared team inbox: assign chats, add notes, set SLAs. See shared team inbox
- Auto-replies: greeting, away message, FAQ menu
- Chatbot: qualify leads and answer common questions. See build a WhatsApp chatbot (no code)
- Flows: forms and bookings inside chat. See WhatsApp Flows explained
- Integrations: Shopify, WooCommerce, Google Sheets, webhooks, REST API. See integrations
Step 12: launch your first campaign
- Segment: start with your warmest opted-in customers.
- Pick one goal: reorders, bookings or a launch.
- Use an approved template with a clear CTA button.
- Send a test to your team first.
- Schedule at a sensible time (late morning or early evening works for many audiences).
- Monitor delivery, reads, clicks, replies and blocks.
- Follow up in the inbox quickly. Replies are where sales happen.
Step 13: go for the verified badge (optional)
The verified badge builds trust but isn't guaranteed. Meta looks at authenticity, notability and compliance. See how to get the WhatsApp verified badge and blue tick support.
GCC-specific notes
- Arabic and English templates: submit both and route by language preference.
- Weekend timing: the UAE's weekend is Saturday–Sunday; Saudi Arabia's is Friday–Saturday. Schedule accordingly.
- Trade licence documents are used for business verification.
- Pricing varies by country. The UAE and Saudi Arabia differ from India. See WhatsApp Business API in UAE.
Worked example: a Jaipur D2C brand goes live in 48 hours
Illustrative scenario, showing how the steps fit together.
Day 1, morning. The founder checks the prerequisites: GST certificate in the company's legal name, a live website with the same name in the footer, a privacy policy page, and a fresh mobile number bought for support. The Business Portfolio already exists (they run Meta ads), but the legal name there reads "Brandname" instead of "Brandname Private Limited". They correct it to match the GST certificate exactly.
Day 1, afternoon. They start business verification, choosing the GST certificate plus a domain-verification method. In RapBooster they click Connect WhatsApp, select the portfolio, create a WhatsApp Business Account, set the display name to the brand name shown on the website, and verify the number by OTP.
Day 1, evening. They submit five templates:
- Order confirmation (utility)
- Shipping update with a tracking button (utility)
- COD confirmation with Confirm/Cancel buttons (utility)
- Abandoned cart reminder (marketing)
- Review request (marketing)
Day 2. Business verification comes through. Four templates are approved; the cart reminder is rejected because it used a shortened link. They replace it with the full store URL and resubmit, and it's approved within hours. The Shopify integration goes live for order events, and the shared inbox gets two agents with assignment rules.
Result: order updates flow automatically, COD orders are confirmed before dispatch, and the support team answers from one number instead of three personal phones.
Troubleshooting common setup problems
| Problem | Likely cause | Fix |
|---|---|---|
| Business verification rejected | Legal name or address mismatch | Make the portfolio details match the documents exactly; upload clearer copies |
| Display name not approved | Name doesn't match the website or brand | Use the name customers see on your website and signage |
| OTP not received | Number has IVR or call blocking | Choose voice OTP, remove call barring, or use a different number |
| "Number already registered" | Number still on WhatsApp or the Business App | Deregister from the app, or follow the migration path |
| Templates keep getting rejected | Vague purpose, wrong category, hidden links | State the purpose clearly, pick the right category, use full URLs |
| Messages not delivered | Recipient not on WhatsApp, or quality or limit issues | Check delivery reports, quality rating and messaging limits |
| Low read rates | Wrong timing or low relevance | Segment better and send at the right time of day |
Mistakes to avoid in your first month
- Blasting your entire contact list on day one. Start with warm, opted-in customers so your quality rating stays green.
- Using one template for everything. Create specific templates per use case; approval and results are both better.
- No owner for the inbox. Assign chats and set response-time targets, or customers will wait.
- Ignoring opt-outs. Honour "STOP" instantly and suppress those numbers.
- Not tracking outcomes. Tag links with UTMs and tag conversations by source so you can prove ROI.
- Forgetting the 24-hour window. Free-form replies are only allowed within the customer service window; after that you need a template.
Your first 30 days: a simple rhythm
| Week | Focus |
|---|---|
| 1 | Setup, templates, inbox, auto-replies, integrations |
| 2 | Opt-in collection everywhere (checkout, website, QR, ads) |
| 3 | First campaigns to warm segments; measure reads, clicks and replies |
| 4 | Add a chatbot or Flow for your top FAQ; review the numbers and quality rating |
