Event Marketing: Registrations, Reminders & Follow-Ups

Event marketing playbook for conferences, expos, workshops and webinars: promotion, WhatsApp registration, reminders, check-in and follow-up.

Great events are won in two places: getting the right people to register and getting them to actually show up. The playbook: promote with reels and targeted ads, register people inside WhatsApp, send tickets instantly, remind them across WhatsApp, email and RCS, check them in with QR codes, and follow up within 24 hours with recordings and a clear next step.

Event types this works for

Conferences, expos and trade fairs, workshops and masterclasses, webinars, product launches, open houses, community meetups, college fests, and political or social rallies (with extra consent care).

The event timeline

When Action Channel
T-6 to T-4 weeks Announce, early-bird Social, ads, email, WhatsApp (opt-in list)
T-4 to T-1 weeks Speaker and agenda reveals Reels, carousels, email
Registration Instant confirmation + ticket/QR WhatsApp, email
T-7 days Reminder + add to calendar WhatsApp, email
T-1 day Logistics: venue, parking, what to bring WhatsApp, RCS
T-2 hours "See you soon" + location pin / join link WhatsApp
On the day Check-in, session alerts, live updates WhatsApp
T+1 day Thanks + recording + slides + CTA WhatsApp, email
T+7 days Offer or next event Email, WhatsApp (opt-in)

Step 1: promote

  • Reels: speaker teasers, "3 reasons to attend", last year's highlights
  • Carousels: the agenda and who should attend
  • Meta ads with Click-to-WhatsApp: "Hi, I want to register for [Event]"
  • LinkedIn posts for B2B events. See LinkedIn for founders
  • Partner and speaker co-promotion
  • Email to your existing list. See email newsletter templates

Step 2: register inside WhatsApp

Use a WhatsApp Flow: name, email, company, role, session preferences, dietary needs. On submit:

๐ŸŽŸ You're registered for [Event], [Name]!
๐Ÿ“… [Date] ยท [Time]
๐Ÿ“ [Venue] / Join link: [link]
Your QR ticket is attached. [Add to calendar] [Invite a friend]

See WhatsApp Flows explained. For paid events, send a UPI or card payment link before issuing the ticket.

Step 3: maximise attendance

  • Multi-channel reminders: WhatsApp for immediacy, email for details, RCS for a rich card with "Get directions"
  • Personal touches: "Your seat in Hall B is reserved"
  • Commitment prompts: "Reply YES to confirm you're coming", which frees seats from no-shows
  • Webinars: "We're live now ๐Ÿ”ด Join here" at start time
  • Calendar invites with the location or link

Ready-made copy: RCS rich card ideas, including event invites.

Step 4: on-site experience

  • QR check-in at the entrance, scanned from the WhatsApp ticket
  • Live updates: "Keynote starts in 10 minutes in Hall A"
  • Session feedback polls
  • Networking: a WhatsApp group or community for attendees (opt-in)
  • Help desk via the WhatsApp shared inbox

Step 5: follow up (where the ROI is)

Within 24 hours:

  • Thank you + recording + slides
  • Survey (3 questions max)
  • One clear CTA: book a demo, claim an offer, register for the next event

Within a week:

  • Segmented follow-ups: attendees vs no-shows (the recording for no-shows)
  • Sales handoff for hot leads (visited the booth, asked for a demo), logged in the CRM. See RapBooster CRM

Metrics

Metric What it tells you

  • Collect consent for WhatsApp updates at registration

GCC notes

  • Bilingual invites and on-site signage

Worked example: a B2B conference with 600 registrations

Illustrative scenario for a one-day industry conference in Bengaluru.

Six weeks out. The organiser announces the event with a speaker-lineup carousel on LinkedIn, a 20-second highlight reel from last year, and an email to past attendees. Early-bird tickets are sold via a payment link in WhatsApp.

Registration. Every Click-to-WhatsApp ad and LinkedIn post leads to a WhatsApp Flow: name, company, role, track preference (Growth, Tech, Leadership) and dietary needs. On submit, a QR ticket and an "Add to calendar" link arrive instantly.

Reminders.

  • Day -7: agenda PDF and speaker highlights (email + WhatsApp)
  • Day -1: venue map, parking, Wi-Fi details and a "Reply YES to confirm" prompt (WhatsApp); RCS card with "Get directions" for Android users
  • Day 0, 8 am: "Doors open at 9, see you soon" with the location pin

People who reply "can't make it" get a free recording link after the event instead, and their seat opens for the waitlist.

On the day. QR scanning at the entrance cuts queues. Session-start alerts go out 10 minutes before each track. A help desk runs on the shared inbox.

Follow-up. Within 24 hours: recordings, slides, a three-question survey and a sponsor-meeting booking link. Booth visitors tagged by sponsors move into the sponsors' CRM pipelines, with consent.

Webinar-specific playbook

Timing Message
Registration Confirmation + calendar link
T-24h Reminder + what you'll learn
T-1h "Starting in an hour" + join link
T-0 "We're live ๐Ÿ”ด" + join link
T+2h Recording + slides + CTA
T+3 days Related resource + offer for attendees

Webinars typically see much lower show-up rates than in-person events, so the T-1h and T-0 messages matter most.

Common mistakes

  • One reminder only: people forget. Use a multi-touch sequence across channels.
  • No mobile-friendly ticket: attendees shouldn't have to search their email at the entrance.
  • Ignoring no-shows: send them the recording and a next step; many still convert.
  • Slow follow-up: interest fades within days. Follow up within 24 hours.
  • Adding attendees to marketing lists without consent: always ask at registration.

Budget planner (illustrative line items)

  • Venue and production
  • Speakers and travel
  • Promotion: ads, creators, partners
  • Creative: reels, highlight video, speaker cards
  • Messaging: WhatsApp, RCS and email tools
  • Ticketing and payment fees
  • On-site: badges, QR scanners, help desk
  • Follow-up: recordings, editing, content repurposing

Questions event organisers ask us

What show-up rate should we expect? It varies widely by format, price and audience. Paid in-person events usually see much higher attendance than free webinars. Measure your baseline, then improve it with multi-channel reminders and a "reply YES to confirm" step.

Should we charge a small fee for free events? A small refundable or nominal fee can raise commitment and attendance for in-demand events. Test it: for community events, free registration with strong reminders may still be better.

Can WhatsApp handle last-minute changes, like a venue or time change? Yes, and it's one of its strengths. Send an urgent utility update to all registrants, pin it in your event community if you have one, and repeat it by email and RCS. Staff the inbox for questions.

How do we collect session feedback without annoying people? One quick poll per session (1โ€“5 rating) and a three-question survey at the end. Offer something in return, such as the slides or recording.

How do sponsors get value from our messaging? With consent, share booth-visitor leads, include a sponsor spotlight in the post-event recap, and offer a sponsor-meeting booking link. Never share attendee data without explicit permission.

Can we reuse the same attendee list for our next event? Yes, if attendees opted in to future event updates. Otherwise, ask them in the post-event message: "Want to hear about our next event?"
