What Is Data Extraction (for Lead Generation)?

Data extraction is collecting structured information, like publicly listed business details, from sources such as maps and directories into a spreadsheet.

DefinitionData extraction

Data extraction is collecting structured information, like publicly listed business details, from sources such as maps and directories into a spreadsheet.

Data extraction is the automated collection of structured information from websites, maps or directories into a usable format like Excel or CSV. In lead generation it usually means gathering publicly listed business details (name, category, phone, website, address, ratings) to build prospect lists.

Why it matters

Manually copying business listings is slow and error-prone. Extraction tools do it in minutes, so sales teams can spend their time researching and talking to prospects instead of copy-pasting.

Responsible use

  • Focus on business information for relevant B2B outreach
  • Respect platform terms and data-protection law (in India, the DPDP Act)
  • Use each channel correctly: WhatsApp requires opt-in, and email needs an easy opt-out
  • Store only what you need, and delete it when done
  • Honour "not interested" immediately

This is general guidance, not legal advice.

Example

A B2B software company extracts "dental clinics in Pune" from Maps, filters by rating, researches the top 150 and sends personalised emails offering a demo, with an opt-out in every message.
